Dessert Table Cost: Per-Guest Budgets That Actually Work
The dessert table replaced the wedding cake at a lot of parties because it looks abundant and costs less — if you order by the piece and resist the urge to have one of everything. Here's the per-guest math at three budgets, and the two decisions that move it most.
The rule: two to three pieces per guest
Guests take two to three small items from a dessert table, more if it's the only sweet and less if there's also a cake being cut. Order for 2.5 pieces per guest as a base, and drop to 2 if the caterer is serving a plated dessert or there's a big cake. Over-ordering is the most common mistake, because tables look sparse to the host and generous to everyone else.
Three budgets for 100 guests
| Budget tier | Per guest (2026) | What's on the table | Total for 100 |
|---|---|---|---|
| Lean | $5 - 7 | Mini cupcakes, cookies, brownies bites, a small display cake | $500 - 700 |
| Standard | $8 - 10 | Macarons, cake pops, standard cupcakes, mini tarts, a 6-inch cutting cake | $800 - 1,000 |
| Styled | $10 - 12+ | Bakery-styled with stands and signage, custom colors, a tiered display cake | $1,000 - 1,200+ |
National ranges using independent-shop unit prices (see the dessert shop price list). Big-metro premium: 30-50%. Supermarket bakeries cut the lean tier nearly in half.
Worked example: standard tier, 100 guests
- 100 macarons at $2.50: $250
- 75 cake pops at $3: $225
- 75 mini cupcakes at $2: $150
- 6-inch display cake for the photo and the cutting: $60
- Delivery and setup: $75
- Total: $760, or $7.60 per guest, at 2.5 pieces per person plus the cake.
The two decisions that move the number
The display cake. A small cake — 6 inches, two tiers at most — gives you the photo and the candle moment for $60-150. The moment you make it big enough to feed everyone, you've bought a wedding cake and a dessert table. Keep the cake symbolic and the volume in units. If the cake is the point, read Wedding Cake Cost and skip the table.
Who styles it. A bakery-styled table with stands, risers, signage and a designer on site adds $200-500 flat or $2-4 per guest. Doing it yourself with $60 of thrift-store stands and a printed menu card looks nearly as good in photos and costs a tenth. What you can't skip is a plan for the table in the sun; buttercream and July do not get along.
The venue and caterer questions
- Does the venue charge a dessert or cake-cutting fee on outside sweets? Some apply it per guest, not per slice — ask.
- Does the caterer's per-person price include dessert? If yes, you're paying twice. (See Caterers.)
- Who plates and replenishes the table? Bakeries drop off; someone has to restock.
- Leftovers: bring boxes. Guests take them; nobody takes a half-cut cake.
For a kids birthday, the venue package usually includes a cake or cupcakes — check what's in the package before adding a table on top.
Frequently Asked Questions
How much does a dessert table cost per person?
$5-12 per guest in 2026: $5-7 for cookies and mini cupcakes with a small cake, $8-10 for macarons, cake pops and standard cupcakes, $10-12 and up when a bakery styles it with stands and custom colors.
How many desserts per person for a dessert table?
Two to three small pieces. Order for 2.5 as a baseline; drop to 2 if a plated dessert or a big cake is also served.
Is a dessert table cheaper than a wedding cake?
For the same guest count, roughly the same or a little cheaper, and it avoids the cake-cutting fee. The savings come from keeping the display cake small and buying volume in $2-3 units.
